THE OFFICE OF THE REGISTRAR—SUPPORTING STUDENTS EVERY STEP OF THE WAY
The Office of the Registrar is central to the mission of the college in that it acts as an academic hub in overseeing and safeguarding the integrity of student academic records. However, the breadth and depth of the responsibilities of that office go well beyond maintaining records. Each year I get lots of questions from families regarding the posting of grades, final exam schedules, how the college can verify their student’s enrollment for insurance purposes, and issues related to FERPA and Proxy Access. With that in mind, I recently asked my friend and colleague Yvonne Arruda, Assistant VP/Registrar, to share with us some of the resources of her office that would be of particular interest to families.
VP Arruda encourages families to visit the Office of the Registrar website for additional resources, forms, and updates throughout the academic year. I hope you will pass this information on to your Friar, as well.

Mid-Semester Grades: Faculty will be submitting mid-semester grades between October 22–29. Students can view their grades by logging into CyberFriar. This is a great time to check in with your student about their academic progress.
Spring 2026 Course Schedule: Starting October 14, students can begin exploring the Spring 2026 course offerings in CyberFriar. For key registration dates and details, please refer to the registration information page.
Final Exam Schedule: The Fall 2025 Final Exam Schedule is available here. It’s a helpful resource for planning travel and supporting your student during finals week.
Proxy Access vs. FERPA: It’s important to understand the difference between Proxy Access and FERPA Authorization at Providence College:
- Proxy Access allows students to grant parents or guardians online access to view specific academic or financial information.
- FERPA Authorization is a separate process that permits College staff to discuss a student’s records with a designated third party.
Both require student consent, and they serve different purposes. For more details, visit the Office of the Registrar website.
Enrollment Verification Requests: Students may need an Enrollment Verification document for things like health insurance, scholarships, or housing. To request one:
- Complete the Enrollment Verification Request Form and email it to records@providence.edu.
- If a parent or guardian will be picking up the letter on the student’s behalf, the student must also complete a Third-Party Authorization Form.
Free Notary Services: Providence College offers free notary services to students. To schedule an appointment, click here.
Telehealth Appointments: If your student needs a private space for a telehealth appointment, they can email scheduling@providence.edu to reserve a room on campus.
Parent Email Listserv Issues: If a parent or guardian in your household is not receiving parent emails and uses Hotmail, Comcast, or MSN, please email records@providence.edu with an alternative email address. We are currently experiencing delivery issues with these providers.
